Overview
Our new user account linking feature allows users to consolidate multiple login accounts under a single email-based login. This is ideal for users who manage multiple company accounts and want to streamline access without juggling different usernames and passwords.
Why Link Your Accounts?
- Simplified Login: Log in using a single email address instead of remembering multiple usernames.
- Seamless Account Switching: Easily switch between your linked company accounts using the new "Switch Account" option.
- Unified Profile Management: Update your profile information once and have it apply across all linked accounts.
Requirements for Linking User Accounts
To link user accounts, the following conditions must be met:

Verified Email Address:
- The target account you want to link must have a verified email address. Accounts with an unverified email address cannot be linked.

Unique Email Address:
- The target user can be specified by email only if there is a single unique account in the system with that email.
- If multiple accounts share the same email address, you must specify the target user by their username instead.

Primary Account Determination:
- The account that initiates the link invitation becomes the primary account. This means the email address of the initiating account will be used for logging in after the accounts are linked.
How to Link Your Accounts
Follow these steps to link your accounts:

Navigate to the User Admin Page:
- Go to the "User Admin" section of your current company account.

Click the "Link Account" Button:
- On the "My Account" tab, find the new "Link Account" button.
- On the "My Account" tab, find the new "Link Account" button.

Specify the Account to Link:
- Enter the email address or username of the target account you want to link.
- If a single unique match is found based on the email, and the email is verified, an email invitation will be sent to that account.
- If the email is associated with multiple accounts, you must specify the target account using the username.

Accept the Link Invitation:
- The user of the linked account will receive an email with a link to accept the invitation.
- Once accepted, the user can log in using the email address of the account that sent the invite (the primary account).
Managing Linked Accounts
Once your accounts are linked, you will be automatically logged into your oldest account (based on account creation date). You can easily switch between your linked accounts using the following options:
1. Switch Account Menu:
- In the top right user menu, you will see a new "Switch Account" link.
- Click it to view a list of your linked accounts and switch to the desired one.
2. Linked Accounts Icon:
- On the "My Account" tab, you will see an icon indicating the number of linked accounts.
- Hover or click on this icon to view the list of linked accounts and switch between them.
Changes to User Profile Management
Once your accounts are linked, the traditional username
field will no longer be displayed. Instead, your profile will consist of the following fields:
- First Name
- Last Name
- Mobile Number
- Multi-Factor Authentication (MFA) Settings
Unified MFA Settings
The MFA settings are now part of the user profile rather than tied to individual company accounts. This means:
- MFA settings (e.g., enabling/disabling MFA, updating authentication methods) are shared across all linked accounts.
- Any updates made to MFA settings will apply to all linked accounts, ensuring a consistent and secure login experience.
Company-Specific Configurations
Only company-specific settings will vary based on the selected company account. Your profile information (name, email, mobile number, and MFA settings) remains consistent across linked accounts, while company configurations such as permissions and preferences will change depending on the current active company account.
Additional User Invitation Feature
We have also introduced a new "Invite User" option on the "Users" tab of the User Admin page to handle cases where the user you are trying to add already exists in the system.
How to Add or Invite Users:

Adding a New User (Default Method):
- On the "Users" tab, use the existing "Add User" button to create a new user profile in your company account.
- This option is ideal for adding new users who do not yet have an account in the system.
- After adding the user, they will receive an email with a link to set their password and complete their profile.

Inviting an Existing Verified User:
- If you attempt to add a user using an email address that already belongs to a verified user in the system, the "Add User" view will show an error.
- Instead, use the "Invite User" option. This allows you to invite the existing user to join your company account.
- You can invite users by entering either their username (if available) or their email address.

Invitation Process:
- When you send an invitation, the user will receive an email notification with a link to accept the invite.
- Once the user accepts the invitation, they will be added to your company account with their existing profile information.

Troubleshooting Tips
Error:
"A user account was found, but the email on their account matches the username of a different user's account, and cannot be invited at this time."
Explanation:
This error occurs when the username or email you provided matches an existing account, but the user has multiple accounts that are not yet linked. As a result, the user cannot accept a company invitation at this time.
- If the user owns and controls both accounts, they must link them before they can receive an invitation to another company.
- If the accounts are owned by different individuals, the other account’s username must be changed to a unique value to allow this user to be invited.
